How to Clean and Deduplicate Your Lead List

Why Clean Data Matters
Sending emails to a messy lead list is worse than not sending at all. Duplicate contacts mean people get multiple emails (annoying). Invalid addresses cause bounces (damages sender reputation). Outdated info means wasted effort. Cleaning your list is not optional — it is essential.
Step 1: Remove Duplicates
Duplicates creep in when you import leads from multiple sources or run overlapping searches. Here is how to remove them:
In Google Sheets:
- Sort your sheet by email address (Data > Sort range).
- Use the formula
=IF(A2=A1, "DUPLICATE", "UNIQUE")in a helper column to flag duplicates. - Filter for "DUPLICATE" rows and delete them.
- Or use Data > Data cleanup > Remove duplicates (built-in feature).
In Excel: Use the Remove Duplicates button under the Data tab. Select which columns to check — email is usually the best deduplication key.
Step 2: Standardize Formatting
- Email addresses: Convert all to lowercase. Trim whitespace. Remove any that do not contain an @ symbol.
- Phone numbers: Use a consistent format. Strip out parentheses, dashes, and spaces, then reformat uniformly.
- Names and addresses: Fix capitalization inconsistencies. Remove special characters that could break CRM imports.
